Scarborough Health Network (SHN) required a handbook to prepare healthcare staff for accreditation. The handbook features video highlights on various topics and adopts a road trip theme, highlighting accessible local destinations in Ontario and emphasizing fun and connected adventures. This theme is consistently integrated throughout the handbook and videos, with key visuals showcasing illustrations of these local locations.

The Challenge

During the Covid-19 pandemic, SHN faced an Accreditation Canada evaluation of its safety practices and healthcare service quality. Training staff amidst stringent social distancing and other protocols proved challenging, especially with the need for rigorous compliance and observation by the accreditation team.

Toronto Public Health (TPH) restrictions further complicated matters by prohibiting hospital visits and limiting filming crew numbers.

The project's scale demanded extensive collaboration from both onsite and offsite teams, with filming restricted to working days across three different sites.

Goals

  1. Distribute a comprehensive guidebook to all staff and trainers within the Scarborough Health Network.

  2. Produce 60-90 second videos featuring live action and motion graphics that are both informative and easily accessible for training purposes.

Solution

We developed an interactive PDF integrating multimedia content, including videos, accessible through links and QR codes. This digital solution allowed staff to access training materials on their own devices, ensuring widespread distribution across the organization.

The initial plan by Corporate Communications was to print physical guidebooks for staff training. However, this approach posed significant challenges in distribution and sustainability.

Impact

The transition from print to digital eliminated printing costs and waste, achieving a 100% reach within the organization. The Accreditation Team and Corporate Communications reported significant cost savings and streamlined training. The initiative’s success was recognized with a remarkable 96% score and an excellence award for SHN.
